Matchera Source will immediately decline and notify you for: licensed professionals (lawyers, CPAs for US compliance, clinical nurses), software developers and engineers, C-suite/VP roles, and roles requiring US-based candidates. No time wasted on unwinnable searches.

Quick test: if we can't find 10 qualified candidates on OnlineJobs.ph or Jobstreet within 48 hours, it's not a Tier 1 role. We tell you immediately.

📦 Minimum candidates per job slot

Tier 1 slots — minimum 10 candidates per slot per month.  Tier 2 slots — minimum 5 candidates per slot per month. These are minimums — Matchera continues sourcing beyond these numbers. If role requirements change mid-search, the minimum count resets from the updated brief date.

Legal EA / Medical VA → $125 DP  ·  Tech EA / Real Estate VA → $100 DP  ·  Finance Manager → $150 DP. All DPs are non-refundable and paid before sourcing begins. If role requirements change mid-search, a new DP applies per the updated role's tier classification.

If a client changes role requirements or the target profile at any point during an active Pre-Vetted engagement, a new downpayment is required based on the updated role's tier. The original DP is non-refundable. Additional fees may apply depending on the new role classification.

🔄 Replacement policy (Pre-Vetted only)

Free replacement available within 30 days of the hire's confirmed start date. Follows the same tier SLA as the original role. No new placement fee — the $50/mo retainer resumes upon hire of the replacement. Non-Vetted does not include replacements; Matchera delivers continuous profiles per active slot each month.

💰 Downpayment policy (Pre-Vetted only)

The downpayment is a non-refundable onboarding fee that confirms the engagement and triggers the sourcing process. Tier 1 = $100. Tier 2 = surcharge amount ($100–$150 depending on role). If the client changes role requirements mid-search, a new DP is required for the updated role. The original DP is not carried forward.

📋 Slot closure terms

To close a job slot, notify Matchera before the monthly billing cycle. The slot remains active through the current cycle and closes at the end of the following billing cycle. Minimum 1 slot required for Non-Vetted.

📄 Agreement

A signed service agreement is required before engagement begins. The agreement covers scope, pricing, delivery expectations, confidentiality, and payment terms. Matchera will send the agreement after the initial brief is confirmed.

FAQ

Can we submit multiple role types in one month? +
Yes. Each role type needs its own brief form. All active slots count toward your monthly subscription tier for pricing purposes.
Is there a minimum order or slot requirement? +
The minimum is 1 job slot for Non-Vetted. Pre-Vetted has no slot minimum — you can submit a single role brief without a subscription.
Can we trial the service before committing to a slot subscription? +
Yes. Your first order is billed at the 1–10 slot rate regardless of stated future volume. This applies to both packages.
What happens if we change the role requirements mid-search? +
For Non-Vetted, the process resets and the SLA restarts from the updated brief. For Pre-Vetted, a new downpayment is required per the updated role's tier — the original DP is non-refundable. Additional fees may apply depending on the new classification.
Is the Pre-Vetted downpayment deducted from the placement fee? +
No. The downpayment is a separate onboarding fee that covers the cost of starting the sourcing and vetting process. The placement fee ($400 for Tier 1, $500 for Tier 2) is invoiced in full on the confirmed start date. Total cost for Tier 1 Pre-Vetted = $100 DP + $400 placement = $500.
How do we close a job slot? +
Notify Matchera before your monthly billing cycle. The slot remains active through the current cycle and closes at the end of the following cycle.
Does Non-Vetted include replacements? +
No. Non-Vetted does not include replacements. Matchera instead delivers the minimum agreed number of profiles per slot continuously each month. A new placement fee applies if a new hire is made.
Can we upgrade from Non-Vetted to Pre-Vetted? +
Yes. You can opt into Pre-Vetted for any role at any time. The Pre-Vetted DP and placement fee structure apply from that point for that role.
What if we need candidates urgently? +
Rush delivery (3 business days) is available for Tier 1 roles at a 25% surcharge on the placement fee. Contact us before submitting the brief to confirm availability.
How is delivery made — ATS or Google Drive? +
Either works. If your agency uses an ATS, provide Matchera access and we will upload profiles directly. Otherwise, we share a Google Drive folder with all candidate files organised per role and slot.
Do you work with agencies outside the US? +
Our primary focus is US-facing agencies. AU and UK-based agencies are considered on a case-by-case basis.
